What Book Formatting Actually Covers
Book formatting is the craft of turning an approved manuscript into production-ready files for print and ebook. It sits between editing and cover design, and it is neither. Editing fixes the words. Cover design sells the book. Formatting decides how every page reads — the typeface, the leading, the way a chapter opens, where a scene break sits, how the running heads behave on a left-hand page, whether a widow or orphan ruins the bottom margin. Done well, the reader never notices it. Done poorly, every page reminds them this book is amateur.
Underneath the visible choices sits a layer of structural metadata: heading hierarchy, navigation documents, embedded fonts, image compression, accessibility tags. Retailers like KDP, Apple Books, and IngramSpark validate against that metadata before a file goes live. A manuscript that looks fine in Word can fail validation the moment it’s converted, because the underlying structure was never built. Formatting is what builds it.
Interior layout: the choices that matter
- Typeface & size. Body text in a serif designed for print — Garamond, Minion, Sabon, Caslon — set 10–12pt with 13–14pt leading. Sans-serif body is a beginner mistake outside specific genres.
- Trim size & gutter. 5.25″ × 8″, 5.5″ × 8.5″, and 6″ × 9″ cover most fiction and non-fiction. Gutter typically 0.5″–0.75″ depending on page count, because thicker books need more inner margin.
- Running heads vs folios only. Author name verso, book title recto is one convention; folios alone is cleaner for non-fiction with frequent chapter breaks.
- Drop caps, scene breaks, chapter starts. Drop caps span 2–3 lines, never break a word. Scene breaks: # symbol, ornament, or a blank line — pick one and use it consistently. Chapter starts always recto, with a sink of 1/3 to 1/2 the page.
- Widow & orphan control. No single line of a paragraph alone at the top or bottom of a page. Tracking and discretionary line breaks fix it without rewriting.
- Kerning, hyphenation, justification. Hyphenation zone tuned so rivers don’t form in justified text. Last line of a paragraph never a single short word.
Print vs ebook: same manuscript, different files
Print output is a fixed-layout PDF/X-1a or a KDP-compliant PDF with embedded fonts, exact 0.125″ bleed on any image that runs off the page, CMYK or grayscale color space, and spine width calculated to the millimeter from final page count and paper stock. Page numbers are real, the gutter is real, and what you see is what prints.
Ebook output is a reflowable EPUB3. There are no page numbers — only page locations the device computes from the user’s chosen font size. Headings must be semantic (h1 for chapter, h2 for section), images need alt text for accessibility and Kindle’s screen reader, and nothing is positioned mid-text in a fixed way because the reader will resize it. The same chapter looks different in each format, and it should.
The ToC and metadata layer
A real table of contents has two forms. The printed ToC readers see and browse, with chapter titles and page numbers in print or active links in ebook. And the embedded navigation document — NCX for legacy devices, the EPUB3 nav document for current ones — that the device uses to power its own jump-to-chapter menu. Both must agree. A missing or broken nav document is the single most common reason KDP rejects an EPUB upload. Front matter uses Roman folios (i, ii, iii) and the body switches to Arabic (1, 2, 3) at chapter one — the convention readers expect, and the structure validators check for.

Frequently Asked Questions About Book Formatting
Do I need separate files for print and ebook, or does one file work for both?
You need separate files. Print is a fixed-layout PDF with exact page dimensions, embedded fonts, and bleed. Ebook is a reflowable EPUB3 with semantic structure and no fixed pages. Trying to use one file for both produces a bad version of each — either an EPUB that looks like a scanned PDF, or a print book where the layout drifts.
What’s the difference between formatting and design?
Design is the cover, the visual identity, the marketing image. Formatting is the interior — typography, layout, page structure, navigation. A book needs both, but they’re different crafts and usually different people. We handle interior formatting; cover design is a separate service.
Can’t I just use Vellum, Atticus, or Reedsy’s free tool?
You can, and many authors do. Those tools handle straightforward fiction well. They struggle with non-fiction that has tables, sidebars, footnotes, complex image placement, or custom typography. They also produce a recognizable house style — readers who buy a lot of indie books can spot a Vellum book from the first page. Professional formatting gives you a layout tuned to your specific manuscript.
What file formats do I get when the job is done?
A print-ready PDF (PDF/X-1a or KDP-spec, depending on where you’re publishing) with embedded fonts and correct bleed, plus a validated EPUB3 with working NCX and nav documents.
